Gaithersburg Birth Records

Gaithersburg birth records are handled by the Montgomery County Vital Records office, not by the city itself. Gaithersburg is one of the few incorporated cities in Montgomery County, but birth certificate services run through the county regardless. The county office is at the Dennis Avenue Health Center in Silver Spring, and it serves all Montgomery County communities including Gaithersburg. Here is what you need to know to get a certified birth certificate.

Where Gaithersburg Birth Records Are Held

Even though Gaithersburg has its own city government, birth certificate requests do not go through the city. Vital records in Maryland are handled at the county level. For Gaithersburg residents, that means the Montgomery County Vital Records office at the Dennis Avenue Health Center, 2000 Dennis Avenue, Suite 27, Silver Spring, MD 20902. The phone number is 240-773-1207.

The office runs a mixed schedule of walk-in hours and appointments. On Monday, Wednesday, and Friday mornings, walk-in service is available from 8:00 a.m. to 11:00 a.m. That window closes at 11:00, and the office is shut from 11:30 a.m. to 1:00 p.m. In the afternoon on those same days, the office is open from 1:00 p.m. to 3:00 p.m. but only by appointment. On Tuesday and Thursday, there is no walk-in access. Appointments are available on those days from 8:00 a.m. to 11:30 a.m. and again from 1:00 p.m. to 3:00 p.m. The office is closed from 11:30 a.m. to 1:00 p.m. on Tuesday and Thursday as well.

When you arrive, check in at the lobby table before going to the Vital Records suite. This is required. If you go straight to the office without checking in first, staff may not be able to help you that day. This is especially important during walk-in hours, when slots are limited and fill up fast.

Requesting Gaithersburg Birth Certificates in Person

For an in-person visit, bring a valid unexpired government-issued photo ID. The ID must show an issue date and an expiration date. A driver's license, passport, or state ID are all fine. Bring the current one. An expired ID is not accepted at the county level. If yours is expired, you need to use the Maryland Division of Vital Records in Baltimore, which has different ID rules for mail requests.

The fee is $25 per certified copy. That covers one certificate. Each additional copy you request at the same appointment costs another $25. Payment options are flexible. The county accepts cash, credit card, Apple Pay, or a check or money order made out to "Montgomery County, MD." Apple Pay is not a universal feature at Maryland county offices, so it is a convenient perk for Gaithersburg residents who prefer that method. Bring payment in one of these forms. Personal checks are fine if they are made out correctly.

The office holds records for births from 1940 onward. Gaithersburg residents born in Montgomery County after 1939 should be on file. For births before 1940, the Maryland State Archives in Annapolis is the right source. Reach them at 350 Rowe Blvd, Annapolis, MD 21401, phone 410-260-6400.

The new records system the county put in place has led to longer wait times in recent months. Same-day service is possible but not guaranteed, even during walk-in hours. Booking an appointment in advance is the safest way to make sure you are served. New appointment slots open each day on the county website, so if nothing is available today, try again tomorrow.

Who Can Request Gaithersburg Birth Records

Not everyone can walk in and request any birth certificate. The rules are set by the state. The person named on the certificate can always request their own. A parent listed on the birth record can request it for their child. A legal guardian can request a ward's record, but must bring official proof of guardianship. Foster care paperwork is not accepted as proof of legal guardianship. A surviving spouse may be eligible in certain cases. A notarized release from the person named on the record allows a designee to pick it up.

If you are ordering on behalf of someone else, call the office before you visit to ask what documents you need to bring. Getting this right before your trip saves you from having to make a second visit. Staff at 240-773-1207 can tell you exactly what they need for your specific situation.

Gaithersburg residents who cannot make it to Silver Spring in person have two other options: mail and online orders.

Mail requests go to the Maryland Division of Vital Records, P.O. Box 68760, Baltimore, MD 21215-0036. You need to include a completed application, a copy of your photo ID, and a check or money order for $10 per certificate made out to "Division of Vital Records." Add a self-addressed stamped envelope so the office can mail the certificate back to you. Mail requests take longer than in-person visits. If you have a specific deadline, factor in processing time and mail delivery time from the start.

Online orders use VitalChek at vitalchek.com. VitalChek is the only website that Maryland has authorized to process online vital records orders. Other sites that claim to offer Maryland birth certificates online are not official and should be avoided. VitalChek charges the state fee plus a service fee. The state phone number is 410-764-3038 or 1-800-832-3277 if you have questions. The Maryland Division of Vital Records will never ask for your Social Security Number or PIN. If someone claiming to be from the state asks for that information, it is a scam.

Gaithersburg residents who were born in a different county or state need to request their certificate from whichever county or state office covers their place of birth. The Montgomery County office only holds records for people born in Montgomery County. If you were born outside of the county, your records are at the state level or with the county of birth.

Using Gaithersburg Birth Records for Real ID and Other Needs

A certified birth certificate is often needed when renewing a Maryland driver's license under Real ID. If you have not previously shown proof of identity at the Motor Vehicle Administration, you may be asked to bring a certified birth certificate at your next renewal. The Montgomery County office in Silver Spring is the right place for Gaithersburg residents to get that document. Plan ahead so you are not scrambling close to your renewal date.

Birth certificates are also needed for passport applications, Social Security card replacements, school enrollment, and some benefit applications. The certified copy issued by the county carries the official registrar seal and signature that agencies require. An informational copy does not. Ask for a certified copy when you need to use the document for any official purpose.

For international travel purposes, some countries require a document called an apostille attached to the birth certificate. The apostille is issued by the Maryland Secretary of State in Annapolis, not by the county vital records office. Get your certified copy from Montgomery County first, then handle the apostille step separately with the Secretary of State.

State Vital Records: Alternative for Gaithersburg

The Maryland Division of Vital Records is the state agency that maintains birth records for all of Maryland. Gaithersburg residents can use this office instead of the county office if needed. Walk-in service is by appointment. The address is 6764-B Reisterstown Road, Reisterstown Road Plaza, Baltimore, MD 21215. Call 410-764-3038 or 1-800-832-3277 to book a time. The state holds records from across all counties, so if you were born somewhere else in Maryland but now live in Gaithersburg, you can get your record there. For birth certificate details, visit health.maryland.gov.

The state office also handles corrections and amendments. If a Gaithersburg birth certificate has an error, that change has to go through the state. The county office cannot amend records. Call the state office first to understand the amendment process before you send anything in.
